• Educational Profile: Preferred course of study, native language, prior Arabic/Quran background, scheduling availability, and scholar preferences (e.g., male or female tutor).

2. Purpose of Processing & Third-Party Non-Disclosure

We process your personal information exclusively for educational coordination: arranging your free trial session, assigning certified scholars, sending lesson schedule updates, delivering academic evaluations, and responding to administrative inquiries.

Non-Disclosure Policy: We do not sell, rent, commercialize, or trade student or guardian personal details with external marketing, advertising, or data-brokerage networks under any circumstances.

3. Service Providers & Technical Sub-Processors

To safely deliver digital classroom services and administrative communication, HF Nexus Academy engages reputable technological service providers operating under strict confidentiality and security safeguards:

• Hosting & Server Infrastructure: Secure enterprise cPanel web servers with TLS 1.3 encryption and automated firewall defenses.
• Classroom & Live Communication: Standard video telephony platforms (Zoom, Google Meet, or Skype) and direct messaging (WhatsApp) utilized strictly for class coordination and lesson delivery.
• Email Dispatch: Authenticated institutional SMTP servers with SPF, DKIM, and DMARC protections for administrative booking notices.

4. Children's Privacy & Parental Consent (Under-18 Learners)

Protecting young learners is our highest administrative and ethical duty. For any student under 18 years of age:

• Mandatory Guardian Verification: Registration must be submitted or authorized by a parent or legal guardian. The intake record expressly collects the guardian's name, relationship, and consent.
• Classroom Environment: All 1-on-1 lessons are conducted under child-safe pedagogical guidelines. Parents and guardians are encouraged to sit in or supervise online lessons at their convenience.
• No Minor Profiling: We do not build behavioral profiles, track minors for commercial purposes, or solicit non-educational information from children.

5. Data Retention & Storage Periods

We retain personal information only for as long as necessary to fulfill the academic purposes described in this policy:

• Prospective Trial Requests: Inquiries and free trial booking records are retained for up to 12 months to facilitate class matching and enrollment continuity, after which inactive inquiries are permanently purged.
• Enrolled Students: Academic records, progress evaluations, and attendance ledgers are retained throughout the student's active enrollment and for academic reference upon graduation.
• Financial & Billing Inquiries: Any administrative payment receipts or fee records are retained in compliance with standard accounting requirements.

6. Your Data Rights & Deletion Requests (Right to Erasure)

Regardless of your geographic location, you retain full sovereignty over your personal data. You have the right to:

• Request Access: Receive a clear copy of all personal details held in our registry regarding you or your child.
• Request Correction: Update inaccurate contact details, timezone changes, or preferred learning goals.
